Privacy Policy

ReadyPen is an AI-powered meeting notes and document generation service for churches, pastors, and organizations. This Privacy Policy applies to anyone who creates an account, joins an organization, or otherwise uses ReadyPen — whether through our web app at readypen.io or our mobile apps (collectively, the "Service").

To provide the Service, we collect the following information:

• Name and email address you provide at signup.
• Meeting content and notes that you upload, record, or paste into the app, including audio recordings, transcripts, and AI-generated summaries.
• Payment information processed via Stripe. ReadyPen does not store your full card details.
• Device type and basic technical information (e.g., user agent, screen size).
• IP address, captured automatically when you use the Service.
• Usage analytics, such as pages viewed and features used, to help us improve the product.

We use the information described above to:

• Provide the ReadyPen service and your account.
• Generate AI-powered meeting notes, summaries, and documents.
• Process payments and subscriptions.
• Send account-related emails (such as receipts, security alerts, and important service updates).
• Improve product reliability, quality, and features.

User-uploaded meeting audio and text is processed by AI services to generate transcripts, summaries, and structured documents. This content is not sold or shared with third parties for marketing or advertising purposes. Our AI providers are contractually limited to using your data solely to perform the processing we request, and are not permitted to use your meeting content to train their public AI models.

We do not sell personal data. We share data only with service providers that are strictly necessary to operate the Service, including:

• Stripe — to process payments.
• Base44 — our application hosting and infrastructure platform.

We may also disclose information when required by law (such as a valid legal request) or to protect the rights, safety, and property of ReadyPen and its users.

User data is retained while your account is active so you can continue to access your meetings, notes, and documents. When you request account deletion, your personal data and meeting content will be deleted from our active systems. Limited records may remain in encrypted backups for a short period before being automatically purged, and we may retain billing records as required by law.

Users may request access to, correction of, or deletion of their data at any time by emailing robbie@readypen.io from the email address on file. We will respond within 30 days.

If you are a California resident, you have the right to:

• Know what personal information we collect about you.
• Opt out of the sale of your personal information. ReadyPen does not sell personal data.
• Request deletion of your personal information.

ReadyPen is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We use industry-standard measures to protect user data, including encryption in transit (HTTPS), encrypted storage, access controls, and isolation of organization data. No system can be guaranteed to be 100% secure, but we continuously work to safeguard your information.

We may update this Privacy Policy from time to time. When we make material changes, we will notify users by email or via an in-app notice before the changes take effect.
