Church Business Meeting Minutes Template (Free, Copy-Paste)
Below is a complete, copy-paste template for congregational business meetings —
the quarterly or annual meetings where the whole membership votes, as opposed
to regular board meetings. It follows Robert's Rules conventions and satisfies
the record-keeping requirements most denominations and most church bylaws
expect.

## Three details that separate clean records from headaches
**Write the quorum line every time.** If your bylaws require 25% of members
for binding votes, the minutes must show it was met — this is the first thing
reviewed if a vote is ever challenged, and the easiest line to forget.
**Record vote counts, not just outcomes.** "Carried" is an outcome;
"Carried 41–6–3" is a record. Contested decisions (building projects, pastoral
calls, budget changes) are exactly the ones people re-litigate later, and the
count settles it.
**"Full report filed" is your friend.** Don't transcribe the treasurer's whole
report into the minutes — record the headline numbers and file the report as
an attachment. Minutes stay readable; the detail stays findable.
## If you'd rather not do this by hand
Business meetings are the hardest ones to minute — more people, floor motions,
amendments, ballot counts. [ReadyPen](https://readypen.io) was built for
exactly this: record the meeting, and it drafts the minutes in this structure
— every motion's exact wording, mover, seconder, and tally — about two minutes
after adjournment. The first meeting is free with no credit card; bring it to
your next business meeting and compare its draft to your notes.
